ROLE RESPONSIBILITIES:
The Scheduling Staffing Coordinator is responsible for the complete utilization of all authorized Client service hours (zero open hours) and the full-cycle management of Caregiver time off and scheduling requests, including record-keeping, incident reports, and call-outs. The Scheduler will ensure timely and thorough communication with branch leadership to maintain efficient and effective scheduling practices. Your duties will include the following:
- Ensure zero open hours at any time, ensuring all shifts are filled.
- Promptly greet all incoming callers with responsiveness and warmth.
- Respond to the on-call emergency line during the weekday after-hours rotation.
- Manage and document Caregiver Time Off Requests and scheduling incidents.
- Manage Caregiver missed clock-ins and clock-outs.
- Coordinate schedules around Client admissions and discharges.
- Record Client and Caregiver shift or activity changes.
- Update the healthcare management platform with accurate and timely information.
- Track EVVs (Electronic Visit Verifications) in the project management platform.
- This role could also include covering shifts after hours on a rotating basis on weekdays.
- Ensure zero open hours at any time.
- Create new Caregiver schedules.
- Manage training shift scheduling.
- Oversee daily and monthly shift scheduling.
- Minimize overtime hours utilized.
- Maximize the use of authorized hours.
- Other tasks as assigned.
Requirements
- Excellent attention to detail and ability to maintain accurate records.
- Thorough knowledge of best practices for handling PHI as governed by HIPAA.
- Experience handling highly confidential and sensitive information.
- Outstanding attention to detail, project management, documentation, organizational, and planning skills.
- Ability to take initiative and work independently.
- Ability to work in a fast-paced team environment with a commitment to reach goals and meet deadlines.
- Exceptional time management abilities to meet deadlines and manage multiple tasks simultaneously.
- Outstanding positive attitude with the ability to grasp and embrace the Company's overall goals and objectives and portray them to customers and staff. Able to work well with others in a collaborative and respectful manner.
- High School Diploma or equivalent required.
- At least 1 year of experience in scheduling or a related field preferred.
